0:04 · Reports: from question to checked download
Let’s use Reports in Carvio to answer a dealership question, check the right records and leave with a useful file. We’ll cover sales, purchases, vehicle costs, vendor costs, profit, the garage book and tasks.
Our fictional dealership has four vehicles: a Civic, a Corolla, a CR-V and a RAV4. Three have been sold; one remains in stock. We’ll follow that same example through the reports so the different totals have a clear context.
We’ll also save filter views, handle incomplete records and empty results, and compare the actual PDF, spreadsheet and CSV choices. The aim is to know what you are looking at, what to do next, and what confirms you have the right result.
0:50 · Find the report you need
From the sidebar, choose Reports under Insights. Reports requires Administrator or Accounting access. Task report is available to administrators when Tasks is enabled. If the report you need is missing, ask your administrator to check your access and the dealership’s enabled features.
Use Search reports by name, category, or metric to find a report, or choose a category under Jump to category. Searching gross brings up the relevant sales and profit choices. Open an available report link; names listed as coming soon do not open a working report.
If no reports match your search, choose Clear search and try a simpler name. This searches the report catalog, not individual vehicles or buyers. Inside a report, use its own period and filters to choose the records.
1:42 · Pin reports and return to recent work
Choose Pin report beside a report you use often. It appears under Your pinned reports. Choose Remove from pinned to take it out of that shortcut group; the report itself remains available in its category.
The quick-access area also helps you return to recently opened reports. Last run is a shortcut cue here; it does not confirm that an export finished. Pins and recent choices belong to this browser, so do not expect them to follow you automatically to another device.
Choose Keyboard shortcuts to see the available keys. Slash focuses the report search, and question mark opens this help. You can always use the visible search field and links instead.
2:26 · Set a deliberate reporting period
Open the report, then open Period. Read the preset’s actual dates before selecting it. Last thirty days and This month are different ranges. For a precise period, choose Pick custom range. Use the arrows to reach the month you need. Select the start date first; we’ll choose August first. Then select the end date, October twenty-eighth.
We’re using twenty twenty-six for this example. After choosing the dates, close the picker and read the applied Period chip and the scope line. Wait for the figures to finish updating.
The initial report is a recent window, not all dealership history. Clearing Period returns to the default window. Clear all also removes the other restrictions and can reset the date basis, so check the resulting scope before comparing totals.
3:17 · Choose Sold date or Purchase date
In Sales Report, Sold date selects sales by when they were sold. Purchase date reviews sold vehicles by when they were acquired. Select the radio control deliberately; changing it can change which deals belong to the same date range.
Here is a shorter comparison, September twenty-ninth through October twenty-eighth. Sold date shows two sales with nine thousand one hundred dollars gross. Purchase date shows one, with five thousand one hundred dollars gross. We changed the date question, not a customer’s deal.
Return to Sold date and our August-to-October period before continuing. When a colleague sends you a report link, check the selected date control as well as the dates. A sales report is not a list of every unsold vehicle purchased in that period.
4:07 · Separate retail and wholesale sales
Choose Add filter, then Type. Select Retail or Wholesale for the question you are answering. Close the picker and read the applied Type chip. Remove that chip’s restriction when you need both kinds of sale.
In our example, Retail leaves two units and nine thousand one hundred dollars gross. The complete sales scope had three units and ten thousand one hundred dollars gross. The excluded wholesale sale is why these are different views.
Read Units sold, Retail, Wholesale and Avg gross per deal using their displayed labels. The large gross figure and the volume figure describe different amounts. Do not substitute one for the other when discussing performance.
4:50 · Filter sales by Company and Buyer
Choose Add filter, then Company, and search for the intended company. We’ll select Demo Fleet Company. Choose Buyer when you also need a particular purchaser. With one company selected, the buyer choices are scoped to that company.
Choose Casey Lee, then confirm both chips. Company and Buyer narrow the result together. Buyer refers to the primary purchaser, so it should not be used as a search for everyone who may appear elsewhere on a deal, such as a co-signer.
Our selected company and buyer show two sales. Changing the company clears the previous buyer choice; select the appropriate buyer again if you need that narrower view. If nothing matches, remove one restriction at a time and check the dates.
5:37 · Read sales trends and breakdowns
Read Retail versus wholesale alongside the units and gross figures. Gross by month shows the selected sales over time. When its label says the last month is month-to-date, remember that it is an unfinished month when comparing it with a complete month.
Review By sales rep and By vehicle class for the same scope. A salesperson breakdown groups the selected deals; it does not change the filters just because you look at a name. Read any comparison label before interpreting a change from a previous period.
The full record section describes the individual detail available in an export: identifiers, buyer, salesperson, sale type, dates and amounts. Open Export when you need to investigate a particular deal rather than relying only on the chart.
6:27 · Review records that need fixing
When a report shows records need fixing, read the named issues before relying on the result. In this separate incomplete-record example, one deal is missing a buyer name. Choose Review and fix to open Records to fix.
Read the vehicle, stock number and issue on the row. Choose Open deal for that record, correct the information in the appropriate saved record, then return to the report and check it again. If the row has no stock number, use the VIN to find the vehicle.
The report does not fill a missing buyer, VIN or purchase price for you. Do not enter an invented value just to remove a warning. Resolve the source record, reload the report, and request a new export if an earlier file used the incomplete information.
7:16 · Review vehicle purchases
Return to Reports and open Purchase Report. Period applies to purchase dates. For our August-to-October window, the report shows four vehicles, including the RAV4 that is still in stock. That is different from the three sales in Sales Report.
Read Purchase price, Tax and the total invested amount separately. Our example shows eighty-six thousand five hundred dollars in purchase price and eleven thousand two hundred forty-five dollars tax. The total shown is ninety-seven thousand seven hundred forty-five dollars.
Choose Add filter, then Status when you need In stock, In progress or Closed. This is vehicle status, not whether a vendor invoice has been paid. Clear the restriction to return to all matching purchases.
8:04 · Review Wholesale and Trade-in sources
Choose Add filter, then Source. Select Wholesale to review that acquisition group, or Trade-in for vehicles taken from customers. With a source selected and no named parties, you are looking at that whole source group.
For Wholesale, choose specific vendors only when you want to restrict the report to those vendors. An unrestricted Wholesale selection includes a purchase without a named vendor; selecting every named vendor still leaves that unnamed purchase out.
Switching to Trade-in changes the party choices to customers. Review the selection again rather than assuming the previous vendor still applies. Clear Source to return to both groups. The Spend by source breakdown and downloaded records should reflect the scope you selected.
8:52 · Review vehicle costs
Return to Reports and choose Inventory Cost Report. The page title is Cost Report. Set Period for the cost dates you need. This report counts cost items, so several items can belong to the same vehicle.
Our four vehicles have six cost items. Amount is two thousand five hundred dollars, Tax is three hundred twenty-five dollars, and total cost is two thousand eight hundred twenty-five dollars. Read the labels so a count of six costs is not mistaken for six vehicles.
Paid versus pending shows the payment-status split of the amounts. It is not the tax-inclusive total. Status in Add filter still refers to the vehicle’s In stock, In progress or Closed state. Use Vendor to restrict the costs to a named supplier.
9:41 · Check cost scope and vehicle detail
Select Demo Service Centre in Vendor and confirm the chip and changed totals. Costs without a vendor are included when Vendor is unrestricted, but are left out when you choose particular vendors. Clear the filter when investigating a missing item.
Use Export for individual cost dates, invoices, cheque references, payment status, amounts and tax. The PDF is a summary. The Excel and CSV files group cost lines by vehicle, with a Total Costs subtotal and the vehicle’s displayed financial figures.
Keep the period’s cost lines separate from the wider vehicle figures shown below each group. Those figures are context for that vehicle, not a second list of costs incurred only in your selected period. Review the vehicle and the requested dates before reusing a total.
10:33 · Review vendor costs and payment status
Open Vendor Cost Report from Reports. Read the vendor count, cost-item count, Amount and Tax for the selected period. This report concerns costs with vendors; our internal cost without a vendor is not part of this vendor total.
Choose Add filter, then Payment status. Select Pending when you want unpaid items, or Paid for the paid scope. Without that restriction, the view can include both. Do not treat the entire displayed vendor amount as unpaid simply because the page uses payables wording.
Use Vendor to choose the suppliers you need. The on-screen payable amounts and tax have separate labels. In the downloaded Excel or CSV, cost lines are grouped by vendor and have a Total Costs subtotal; the PDF summarizes the vendor breakdown.
11:24 · Review a longer vendor breakdown
Here is a separate example with more suppliers. Payable by vendor shows the largest amounts first. If Show all vendors is offered, expand the list to inspect the remaining names, then use Show fewer to collapse it again.
A vendor marked deleted can still appear on historical costs. Its deletion is not proof that those costs disappeared or were paid. The active Vendor picker does not offer every deleted supplier as a new selection.
Return to the original example before downloading its file. If a vendor seems missing, check Period, Payment status and the Vendor chip. Also check whether the cost actually has a vendor linked to it.
12:07 · Review profit and incomplete deals
Open Profit Report. Set Period for the closed deals you want to review, then read Closed deals and Computable before interpreting profit. Our clean example has three closed deals and three computable results.
The displayed Revenue is seventy-two thousand seven hundred dollars, Expenses sixty-two thousand six hundred, and Profit ten thousand one hundred. Average per deal is shown separately. Check that Computable covers all three deals before using these displayed figures.
In this alternate example, three closed deals have only two computable results because required financial information is missing. A dash or an unavailable result does not mean zero profit. Review the exported detail and correct the underlying record before treating the result as complete.
12:58 · Review the garage book acquisition window
Open Garage Book Report. Choose Period by when vehicles entered stock. This is not a filter for only vehicles sold during those dates. Our four acquired vehicles include three Sold, or out, and one Still in stock.
The In stock versus sold breakdown is a summary of those vehicles. It is not the complete register. Choose Export to inspect the actual vehicle rows and their acquisition and sale information.
Garage Book is the exception to the usual summary PDF. Its PDF, Excel and CSV choices all contain the register grid. Choose the format that you need for viewing, printing or working with the rows, then inspect the finished file.
13:42 · Check the completed garage register
Read Purchased From, the vehicle information, Serial Number, Colour, Date into Stock, Date out of Stock and Sold To in the actual register. Serial Number is the VIN here. Confirm the vehicle and parties, not just the row count.
In our example, the RAV4 has no sale date or buyer because it is still in stock. The In for resale, wrecking or consignment column is blank in the current export. A blank field must not be treated as a verified classification.
The Excel and CSV versions keep the register’s two header rows. Check how your spreadsheet or import tool handles them. Review missing parties, addresses or identifiers in the source records before relying on the register; downloading a file by itself does not establish that every required field is complete.
14:35 · Choose a Task report date basis
Return to Reports and open Task report. You need Administrator access and Tasks enabled. Choose Due date for tasks whose due dates fall in the window, Completed date for completed work in the window, or Created date for when the work was created.
Set Date range and read the applied scope. The default is a recent window, not all time. Keep the start before the end and the range within seven hundred thirty days. Changing the basis can select different tasks even when the dates stay the same. Return to Due date for our example.
Choose Search, then use Search tasks for the task title you need. Search is part of the report scope, so clear it before expecting the whole team’s work. A report with no matching tasks does not mean the dealership has never created a task.
15:24 · Choose task status and priority
Open Add filter to choose Status or Priority. Select the actual status or priority choices that answer your question, then read the chips and the number of tasks in scope. You can combine filters when that narrower question is intentional.
A completed-date report and a current Status restriction are separate choices. If the result is unexpectedly empty, check the basis, dates, search and status together before deciding the work was never done.
Remove a single chip to widen one part of the question, or use Clear all to reset the report’s restrictions. Check the resulting date range and basis again. Clearing filters does not create an unlimited historical report.
16:10 · Filter owners, escalations and templates
Choose Assignee to review work assigned to a staff member. Select Alex Morgan: our example now shows two tasks. Turn on Unassigned to include work with no individual assignee as well. The scope becomes three tasks, including that unassigned item.
Escalated to is a different question: who received the escalation. That person can differ from the task’s assignee. Select the intended recipient, and confirm the active chip before interpreting the result as that person’s queue.
From template selects work created from a particular task template. Retired templates can still have historical work to review. Search for the template title and select it; an error while loading choices is different from a genuine No templates result.
16:59 · Investigate overdue and blocked work
The remaining choices are Unassigned, Overdue, Blocked, At risk and Escalated. Turn on the filter for the question you are investigating. Read the current chips; turning a switch off can leave its control visible even though the restriction is no longer active.
Overdue focuses on work that is still open and late. Blocked and At risk identify the corresponding work states, and Escalated selects work that has been escalated. Several restrictions together can leave a very small result.
Use the downloaded task rows to identify the actual work, assignee, due date and escalation recipient. Open the task through the normal Tasks view to review or act on it. Viewing or exporting a report does not complete the work.
17:47 · Distinguish missed deadlines from work overdue now
Our example has five tasks: three completed and two still open. Three missed a deadline, but only one is Overdue right now. Work finished late is still part of the missed-deadline history even though it no longer needs completing.
Read Slipped work escalated, Avg days overdue and Completed with that distinction in mind. Where the work stands describes the current mix, while What slipped, and how far shows the missed-deadline and escalation picture for the selected slice.
For the individual task list, choose Excel or CSV. Summary PDF gives totals and department or assignee breakdowns without task rows. The current PDF can show an incorrect percentage; use the screen or Excel for percentage values. Check the on-screen figure for fractional average days, because the files display whole days. Task report and Task analytics have different scopes; compare their dates and filters before expecting their numbers to agree.
18:49 · Save and restore report filter views
Apply the period and filters you need, then choose Views, the bookmark control in the filter bar. Choose Save current view and give it a useful name. We’ll save Retail, August to October, so the name tells a colleague what question it represents.
Choose Save, then check that the named view appears. This saves your filter selection in this browser. It does not freeze the report’s numbers, create a scheduled report or save a new dealership record.
Later, open Views and choose that saved name to restore its filters. Recheck the date basis afterward; the current saved-view controls do not preserve every scope choice. Delete saved view removes that shortcut without deleting any vehicle, cost or task.
19:35 · Choose a useful export format
Set the correct report, period, date basis and filters before choosing Export. PDF is useful for a summary you can read or print. Excel includes the summary and record detail; CSV is for the rows rather than the same visual dashboard.
Cost and Vendor Cost files are grouped by vehicle and vendor respectively, so their CSV files are not a simple single-header flat list. Garage Book preserves the register grid in every format. Choose according to the actual contents you need, not just the file extension.
For Task report, Summary PDF explicitly has no task rows. Choose Excel for totals, breakdowns and rows, or CSV for flat task rows. These files are exports of the selected report, not an automatic submission to another system.
20:27 · Prepare, open and check the PDF
Choose a format once and wait while the button says Preparing. Starting an export is not the same as receiving a finished file. Keep an eye on the ready notification, even if you move elsewhere in the application.
For a PDF, choose View in the ready notification. Carvio opens the document viewer. Read its report name, period and generated information, then inspect the actual figures. Our Sales PDF corresponds to the clean three-deal example.
Use the viewer’s normal controls to read or download the document. If you changed filters after requesting the file, do not assume that file changed too. Request another export for the new scope or after correcting the source records.
21:14 · Download and inspect row detail
For Excel or CSV, use Download in the ready notification. If your browser asks where to save the file, choose its location and confirm Save. Check the actual downloaded file before sharing it. Excel’s Report sheet gives totals and breakdowns, with record detail on its separate sheet; the garage register has its own grid treatment.
Our Sales rows identify the three vehicles, their buyers, salespeople, dates and amounts. Check the stock number and VIN when tracing a total back to a record. A total row is not another vehicle; do not count it as one when importing the CSV.
For grouped cost files, keep the vehicle or vendor headings and subtotals with their lines. Choose the original report again if you need a different slice. Editing a downloaded spreadsheet does not update the saved records in Carvio.
22:09 · Avoid incomplete task exports
Task exports stop at ten thousand rows. If the selected report is larger, read the warning before exporting. A summary can describe more tasks than the file’s detailed list contains.
Narrow the dates, assignee, template or other filters, then export manageable slices. Check any truncation note inside the file as well. A file that downloaded successfully is not necessarily a complete task list.
Return to a scope below the limit and verify the selected period and basis. For our five-task example, the detail can contain every task. Keep the scope with the file so the next person understands what it includes.
22:53 · Recover from empty results and loading errors
No matching records is a result for the current scope. Check the dates, basis and active chips. Clear a buyer, source, vendor or status restriction one at a time, or choose Clear filters and review the new scope.
Could not load this report is different from an empty report. Choose Retry and wait for the result. A loading failure does not prove there were no sales, costs or tasks in that period.
If a party picker reports an error, resolve or retry that loading problem before assuming the person or vendor does not exist. If access has changed, ask your administrator to check it. Do not create duplicate business records simply to make a report search return a result.
23:38 · Recover from export failures
If the export request fails, read the notification and check that the report itself still loads. Correct the problem and request the file again. There is no finished file to rely on just because you opened the Export menu.
A preparation failure or an expired export also needs a new request. If a download action is no longer available, return to the report, confirm its current scope and choose Export again.
When the downloaded result looks wrong, compare the report type, dates, date basis, filters, missing-data notices and any row-limit warning. Correct the underlying record when needed, then obtain a fresh file.
24:20 · Reach reports and apply filters on a phone
On a phone, open navigation and choose Reports under Insights. Search the report catalog or open the report you need. You still need the same access and enabled features.
Choose Open filters. In the Sales panel, select Type, Company or Buyer, then choose Apply with the displayed number of changes. Closing the panel without applying does not confirm those draft selections. Check the changed result afterward.
To change the report dates or date basis, use Reports in a desktop browser. Those choices are not offered in this phone filter panel. You can still review the displayed result and use Export. Use the written guide when you only need the exact action or recovery step.
25:06 · Check the finished report handover
Before leaving Reports, confirm the report name, dates and date basis, active filters, and any incomplete-data warning. Then check that the file contains the summary or detailed rows you actually need.
Our example reconciles four purchases, three sales, six vehicle cost items, three vendor groups, and the four-row garage register. Different report counts are meaningful when their scopes and units are different.
Keep the checked file with its reporting scope, and use the related written guide for the next task. You can return to any chapter without replaying the whole walkthrough. A useful report ends with a clear question, a checked result and the appropriate follow-up.
