Correct details on a wholesale document

Correct the buyer, seller salesperson or dealership HST details, then regenerate and check the document.

Access: Agreement access to review the document. Your own Profile can be edited by you; another teammate or dealership setting requires the relevant editing permission.

  • The saved wholesale agreement and the correct replacement details.
  • Know who created the sale when correcting the printed seller salesperson.
  • The necessary access to edit your profile, another teammate or dealership settings.

Where to go
Inventory → Open the vehicle → View full deal → View document

  1. Check which side of the document is wrong

The Purchasing dealer and Purchasing representative are the buyer. Your dealership is the seller. The seller salesperson printed on this template is the person who created the sale. Editing a different viewer’s profile will not correct that creator’s details.

Correct the purchasing dealer or representative

Section titled “Correct the purchasing dealer or representative”
  1. Reopen the wholesale agreement

Open Inventory, find the vehicle and choose View full deal → Edit deal. Review the title to confirm this is the wholesale agreement.

  2. Correct the buyer’s details and save

In Purchasing dealer, use the relevant Edit details control. Correct the company registration, HST or address, or the representative’s name and salesperson registration. Choose Done, then Save bill of sale. These are shared company/person details; review the selected records carefully.

Correct your printed seller salesperson details

Section titled “Correct your printed seller salesperson details”
  1. Open the sale creator’s Profile

If you created this sale, open the user menu at the bottom of the sidebar and choose Profile. Under Personal details, select First Name, Last Name or Salesperson Registration Number.

  2. Save the corrected field

Enter the value and press Enter, or leave the field, to save. Escape cancels the edit. Confirm Profile updated before continuing. If saving fails, the field reopens with your entry; resolve the error. There is no page-wide Save button for these fields.

  1. Find the creator in Team

An administrator with access to edit teammates can open People → Team. Use Search name or email… to find the person who created the sale. If needed, change Active to All. Open their row, or its actions menu and Edit. Accounting can view this page but does not receive its editing controls.

  2. Update their name or registration

Correct First name and Last name under Name. Choose Add title & registration if collapsed, then correct Salesperson reg. #. Choose Save changes and confirm Teammate updated. This corrects the person’s shared profile; it does not change who created the sale.

Correct the selling dealership’s HST number

Section titled “Correct the selling dealership’s HST number”
  1. Open dealership Profile

Someone with access to change dealership settings can open the bottom user menu, then Settings → DEALERSHIP → Profile. On a phone, choose Profile from the Settings navigation.

  2. Save the HST correction

In Business Details, edit Tax information (HST Number). Choose Save in the unsaved-changes footer and confirm Dealership information updated successfully. Being able to open the page does not establish permission to save a change.

When the selling dealership’s identity is wrong

Section titled “When the selling dealership’s identity is wrong”
  1. Check the account details before regenerating

The selling dealer’s name, address and MVDA registration come from your dealership account. These details currently have no edit control in the wholesale form or dealership Profile page. The account record needs correcting before you regenerate the document. No ordinary in-app correction route for these fields has been verified.

Regenerate and review the corrected document

Section titled “Regenerate and review the corrected document”
  1. Refresh the saved document

Return to the wholesale deal and choose View document → Refresh. Wait for regeneration and read any error. Check the corrected seller and buyer blocks in the new document.

  2. Use the newly reviewed copy

An already downloaded or printed copy does not update itself. Review the regenerated document, then download or print a new copy if needed. Review every page before collecting signatures.

The source detail has been saved and the regenerated wholesale document has been reviewed. Use a newly downloaded or printed copy after checking it.

Changing my Profile did not change the printed salesperson

Check who created the sale. The printed seller salesperson comes from that creator. A different current viewer’s profile does not replace them.

I can view Team or Settings but cannot save

Use someone with the necessary editing access. Accounting is read-only on the current Team surface. Saving dealership HST requires permission to change dealership settings.

The downloaded PDF still has the old details

After the source correction succeeds, use View document → Refresh, check the new document and download it again. Existing files do not update themselves.
