Generate and print a window sticker

Create a vehicle’s window sticker, check its contents, refresh it after changes and download or print the finished PDF.

Access: Access to the intended dealership and vehicle record. Window sticker viewing and generation are available from the record; changing the vehicle’s details or VIN visibility requires the relevant editing permission.

  • An existing vehicle with a confirmed stock number, VIN, listing price, mileage and vehicle details. Save any corrections before generating the sticker.
  • Check the dealership name, address and phone number that should appear on the printed result. Ask an administrator to correct dealership information if needed.
  • Decide whether the VIN should appear. Changing Show VIN in listings also affects listing visibility; confirm that wider change before using it to prepare a sticker.

Where to go
Inventory → In Stock, In Progress or Delivered → Open the vehicle → Listing → Window sticker

  1. Open and confirm the vehicle

In the sidebar, expand Inventory and choose In Stock, In Progress or Delivered for the vehicle’s current state. Search the stock number or VIN and open the matching vehicle. On a phone, open navigation first.

Check the year, make, model, stock number and VIN in the heading. This fictional example uses the 2022 Honda Civic EX, stock DEMO-061, with 41,500 km and a $24,900 listing price.

  2. Find Window sticker in Listing

Find Window sticker in Listing. Generate means a sticker needs to be created; Open opens the available sticker.

On a phone, choose Inventory Details, then find Window sticker in Listing.

  1. Generate the sticker

Choose Generate once and wait. The document viewer opens when generation succeeds. Check that its filename contains the intended stock number: windowsticker-DEMO-061.pdf in this example.

If the row already says Open, choose it to inspect the available PDF. Opening an existing sticker is not a substitute for refreshing it after you change the record.

  2. Make the page comfortable to read

Use Zoom in and Zoom out in the page controls. Choose Fit to width to return to a page width that fits the viewer. Scroll to inspect the lower part of the page.

The example is 1 of 1 pages. The previous and next page buttons are unavailable because there is only one page. Choose Close, or press Esc, to return to the vehicle.

  1. Check the vehicle and price together

Check the vehicle heading, trim, stock number, mileage and unit, colours, transmission, engine, body, doors, fuel, features and description. Check the VIN if you intend to show it.

The example shows $24,900 with Plus applicable taxes. This is the vehicle’s listing price, not a bill-of-sale total or an approved financing amount. Confirm any taxes, fees and final terms separately before presenting an offer.

  2. Check the printed condition and blank areas

The example’s printed Vehicle Status: Used describes the vehicle’s condition. It does not mean the inventory lifecycle has moved to Sold or Delivered.

The current sticker leaves Drive and Financing blank. Do not read a blank Drive field as confirmation of the drivetrain, or a blank Financing field as a finance offer. Check the vehicle’s specifications and any financing figures separately.

This example has no vehicle photo, dealer logo or website QR code, so those areas are blank. Check your actual output rather than assuming every area will be populated.

  3. Check dealership details and the footer

Check the dealership name, address and phone number at the bottom, along with the printed disclaimer. The example uses Carvio Demo Motors, 200 Demo Road, Toronto, Ontario M5V 2T6, and (416) 555-0100.

If any detail is incorrect, correct the relevant saved information and refresh the sticker before using it. Do not distribute this fictional training PDF as a real vehicle advertisement.

  1. Save the correction first

Close the viewer and correct the vehicle record using the controls available to your role. For example, save a corrected listing price or mileage. Reopen Window sticker and choose Refresh, the circular-arrow control in the viewer header.

Wait for the refreshed PDF, then check the exact value you changed. A previously downloaded or printed copy is a separate copy: download or print again after checking the new result.

  2. Check VIN visibility in the refreshed PDF

If you are authorized to change VIN visibility, set Show VIN in listings to the intended choice in Listing, then open the sticker and choose Refresh.

In the demonstrated off example, the refreshed PDF keeps the VIN label but leaves its value blank. Check the actual page before distributing it. Turning the setting back on also requires a refresh and a fresh download if you want the VIN on your copy.

  1. Download a copy

Choose Download in the viewer header. Follow your browser’s download behavior; it may save the PDF, ask where to save it or open the downloaded file in a new tab.

Open the downloaded PDF and check the stock number, price, mileage and intended VIN visibility again. The example filename is windowsticker-DEMO-061.pdf. Keep track of older copies after refreshing so you do not use an outdated sticker.

  2. Inspect print preview before printing

Choose Print in the viewer header. In the browser’s print dialog, check the destination, page count, paper size and the complete preview. Choose the intended printer or PDF destination, then finish only when the preview is correct.

If the preview is blank, choose Cancel. Return to the viewer, choose Download, open the downloaded PDF and print from that PDF viewer. This recovery produced a complete one-page preview in the Firefox check. Printing behavior can vary by browser and printer.

  1. Retry generation when the viewer does not open

Read the error notification and check your connection. If the record still shows Generate, address the reported problem and choose Generate again. A failed generation does not establish that a usable PDF exists.

In the demonstrated failed attempt, the viewer stays closed and Generate remains available. The next successful attempt opens the PDF.

  2. Refresh an unavailable sticker

If the viewer says Couldn’t render this file, read its explanation. For a generated window sticker, choose Refresh in the header and wait for a new result. In the missing-file example, Refresh restores the actual PDF.

If the message indicates a connection problem, check the connection and reopen the file. If the link has expired, close and reopen it. If it is password-protected, download it and use a local PDF viewer that can open it.

If the problem continues, give an administrator the stock number and exact message. Do not repeatedly print or distribute a page you cannot inspect.

The available sticker opens from the vehicle’s Window sticker row. You have checked its visible vehicle and dealership details, refreshed any changes, and can download or print a current copy after inspecting the result.

I changed the vehicle, but the sticker still shows an old value

Confirm that the correction was saved to the intended vehicle. Open Window sticker, choose Refresh and check the changed field. Download or print a fresh copy; an earlier downloaded file does not update itself.

The VIN is still visible on a copy after I turned it off

Confirm Show VIN in listings is off on the correct record, then open the sticker and choose Refresh. Inspect the blank VIN value and download again. A previously downloaded or printed copy retains its earlier contents.

Drive or Financing is blank

These fields are blank on the current sticker. Check the drivetrain in the vehicle specifications and discuss finance terms separately. The blank Financing field is not an approved payment or lender offer.

The sticker says Used, but the vehicle record says Acquired

Used is the printed condition. Acquired, Sold and Delivered are inventory lifecycle stages. Generating a sticker does not establish a sale or delivery.

The browser’s print preview is blank

Cancel printing. Download the PDF, open the downloaded file and print from its PDF viewer. Check that the complete page appears before finishing.

I cannot find Window sticker on my phone

Open the vehicle, choose Inventory Details, then find Window sticker under Listing. Close the viewer to return to Inventory Details.
