0:03 · Review and update an existing vehicle
Let's open an existing vehicle in Carvio and check the information before making a change. We'll review the specifications and purchase details, compare payment estimates, update the listing price and mileage, and confirm the saved result. Then we'll follow the inventory states, approval and delivery. We'll also cover phone controls, missing information, permissions, and what to do when a change fails.
Our fictional example is a 2023 Toyota Corolla SE, stock DEMO-024. It begins at twenty eight thousand, nine hundred dollars with thirty four thousand, two hundred kilometres. Have the correct stock number or VIN, the current odometer reading, and the intended listing price ready. Use an account with access to the intended dealership. The examples are for training; the payment figures are estimates, not approved lender terms.
0:55 · Open the vehicle from Inventory
Start in the application sidebar. Under Operations, expand Inventory, then choose In Stock. Open Search and enter the stock number, VIN, or model. We'll search for DEMO-024. The list now shows one matching Corolla.
Check the stock number and VIN in that row, then open the vehicle. The record heading repeats its identity. Confirm that it is the vehicle you intend to change. If your vehicle already has a deal or has been delivered, look in In Progress or Delivered instead. A search in one inventory list does not cover the other lists.
On a phone, open the navigation button first, then choose Inventory and the appropriate list. If a search returns nothing, clear conflicting filters, check the spelling and stock number, and try the other inventory lists before assuming the record is missing.
1:48 · Review the vehicle information
The heading shows the stock number, VIN, and current status. This example is Acquired. The list price and projected margin are shown below it. Treat the projected margin as the figure labelled on this screen; it is not a guarantee of the final profit on a completed deal.
Read Specifications to check the engine, transmission, fuel, body, colours, and mileage. Choose All 9 specs to see the additional recorded details, then Fewer specs to return. The number in that control depends on how much information this vehicle has.
Review the listed Features and Description as well. Compare recorded equipment and mileage with the actual vehicle before using them with a customer. This example has no photos yet. No photos yet and No documents yet describe missing material on this record; they do not mean a photo or document was deleted. We will keep the record review separate from adding inventory or editing the full vehicle form.
2:49 · Review purchase information
If your account can view purchase information, find Purchase and choose View purchase details. This opens a read-only Purchase panel. Our example was bought wholesale from Demo Auto Wholesale on October first, 2026.
The panel shows a twenty two thousand dollar purchase price, two thousand, eight hundred and sixty dollars tax, and a twenty four thousand, eight hundred and sixty dollar total. Check the Vendor and Invoice number against your purchase paperwork. Our invoice is DEMO-PUR-024.
Mileage at purchase is thirty three thousand kilometres. That is a separate historical figure from the current listing mileage. Changing the current odometer reading should not be treated as a correction to this purchase history. Review any recorded comments, then close the panel to return to the vehicle.
Available purchase details depend on what was recorded. Optional details may be absent. If purchase information needs correction, the Purchase actions menu provides Edit purchase info. That opens the vehicle edit form; do not change unrelated information just to review the purchase.
4:01 · Recognize access and privacy controls
The sections you can see depend on your account's role. Purchase information and purchase documents are available to administrators, data entry and accounting staff. Costs are available to administrators and accounting staff. Here is a sales account viewing the same example: the listing and payment estimator are present, while the purchase, costs, and purchase-document sections are unavailable.
An absent section does not mean its values are zero. Ask your administrator to check your role if you need access for your work.
When showing the record to someone else, choose Hide dollars in the heading. The button is labelled Hide with a dollar sign. It masks protected figures such as purchase price and projected margin. The listing price stays visible. Choose the same control again to return to the normal display. This display control does not change anyone's permissions, and it does not hide every number on the screen.
5:00 · Open the payment estimator
For an acquired vehicle without a deal, use Payment estimator to explore a payment conversation. Our starting listing price is still twenty eight thousand, nine hundred dollars. The initial example shows three thousand dollars down, sixty months, six point nine percent interest, and bi-weekly payments. The displayed estimate is two hundred and seventy dollars and four cents every two weeks.
The summary also shows twenty nine thousand, six hundred and fifty seven dollars financed and five thousand, four hundred and forty eight dollars total interest. Read the payment frequency as well as the dollar amount; a monthly amount and a weekly amount describe different schedules.
Choose Adjust figures to open the inputs. Before using any estimate, check every input for this customer and vehicle. These are illustrative values. This tool does not approve financing, save a bill of sale, or collect a down payment. Use the actual deal and approved lender information when preparing final terms.
6:03 · Compare down payment amounts
Start with Down payment. We will change it from three thousand to three thousand, five hundred dollars and leave the other inputs alone. Enter three thousand, five hundred. The summary updates to two hundred and sixty five dollars and forty nine cents bi-weekly.
The displayed amount financed is now twenty nine thousand, one hundred and fifty seven dollars. That is five hundred dollars lower than the starting amount. The customer is putting five hundred dollars more down, and the displayed financed amount drops by the same five hundred dollars. Total interest is now five thousand, three hundred and fifty seven dollars.
Keep these assumptions together when comparing options. Changing several fields at once makes it harder to explain which choice changed the estimate. Entering a down payment here does not record that money as received.
6:56 · Compare term, interest and tax inputs
Duration is the number of months in the estimate. With three thousand, five hundred dollars down, change sixty months to seventy two. The payment becomes two hundred and twenty eight dollars and fifty cents bi-weekly. Total interest becomes six thousand, four hundred and eighty nine dollars. A smaller payment can come with more total interest; review both figures before comparing options.
Return Duration to sixty months. Now change Interest rate from six point nine to seven point nine percent. The bi-weekly estimate rises to two hundred and seventy one dollars and eighty three cents. Return the rate to six point nine before the next comparison.
Tax rate is also an estimate input. This example uses thirteen percent. Confirm the appropriate figure for the intended transaction instead of treating this demonstration rate as a rule for every sale. The current controls limit Duration to one through ninety six months, Interest rate to zero through twenty five percent, and Tax rate to zero through fifteen percent. Recheck the displayed value after typing. If an entry is adjusted to a limit, do not assume your original number was accepted.
8:08 · Choose the payment frequency
Open Payment frequency. The available choices are Monthly, Semi-monthly, Bi-weekly and Weekly. Bi-weekly means every two weeks. Semi-monthly means twice a month. Those schedules are not interchangeable.
Keeping three thousand, five hundred dollars down, sixty months and six point nine percent interest, choose Monthly. The estimate is five hundred and seventy five dollars and ninety seven cents per month. Choose Semi-monthly and it becomes two hundred and eighty seven dollars and sixty four cents per payment. Choose Weekly and it becomes one hundred and thirty two dollars and sixty seven cents per week.
Return to Bi-weekly. The estimate is two hundred and sixty five dollars and forty nine cents. Check the frequency beside the amount every time you quote an estimate. A lower amount per payment does not, by itself, mean the overall financing is cheaper.
9:03 · Include a trade-in and its lien
If the customer has a trade-in, enter its value in Trade-in value. Leave zero when no trade-in is part of this example. We will enter eight thousand, five hundred dollars while keeping the three thousand, five hundred dollar down payment and the other assumptions unchanged.
With no lien entered, the summary shows nineteen thousand, five hundred and fifty two dollars financed and an estimated one hundred and seventy eight dollars and three cents bi-weekly.
A lien is an outstanding loan against the trade-in. If there is a balance to account for, enter it in Lien on trade-in. We will enter two thousand dollars. The displayed financed amount increases to twenty one thousand, five hundred and fifty two dollars, and the bi-weekly estimate becomes one hundred and ninety six dollars and twenty four cents.
Use a confirmed balance for a real transaction. This example does not verify a payoff amount or settle the existing loan. Enter the trade-in value and lien in their separate fields, rather than silently reducing one by the other. This estimate does not create a trade-in inventory record.
10:14 · Check the inputs and leave the estimate
Before leaving the estimator, check the values it actually displays. Here, an attempted duration of five hundred months has been limited to ninety six. With the trade-in and lien still entered, the payment shows one hundred and thirty four dollars and ninety six cents bi-weekly. That is a different scenario, not a lender offer for a five hundred month loan.
For the listing edits that follow, we will restore the original assumptions: three thousand dollars down, sixty months, six point nine percent interest, thirteen percent tax, no trade-in, no lien, and bi-weekly payments. The original two hundred and seventy dollar and four cent estimate returns.
Choose Hide figures to close the input area. It collapses the controls while keeping the estimate visible. Closing the inputs does not create or save deal terms. Recheck the assumptions when you open another vehicle or return later, rather than assuming the last scenario is the right one for the next customer.
11:16 · Save a new listing price
Now let's change the actual listing price on this record. This is a saved vehicle change, unlike the estimate inputs. Under Listing, choose the pencil beside Listing price. An input opens with the existing twenty eight thousand, nine hundred dollar value.
Replace it with twenty eight thousand, four hundred dollars. While the input is still open, the heading still shows the previous saved price. Press Enter to save. Moving focus out of this inline field also saves the change, so check your entry before clicking elsewhere.
Wait for the edit to finish. Listing price and the price in the heading now both show twenty eight thousand, four hundred dollars. With the starting estimator assumptions restored, the bi-weekly estimate is now two hundred and sixty four dollars and ninety cents. The summary shows twenty nine thousand and ninety two dollars financed. Check the displayed result rather than assuming a typed draft has already saved.
A listing-price change on this record is not confirmation that every external listing has already updated. Check the relevant publishing status separately when that matters.
12:27 · Save the current mileage
Under Listing, choose the pencil beside Mileage. This record is labelled Mileage in kilometres. Replace thirty four thousand, two hundred with thirty four thousand, five hundred, then press Enter to save.
The Listing value and Specifications now both show thirty four thousand, five hundred kilometres. Check the unit as well as the number. Editing this field changes the reading; it does not convert a number from miles to kilometres.
Use an observed, appropriate odometer reading for the vehicle. The purchase panel still carries its separate mileage-at-purchase history. Do not copy a historical purchase reading over a newer current reading simply because the two numbers differ.
13:12 · Cancel a draft and recognize a missing price
If you start an inline edit by mistake, press Escape before saving. Here we have typed twenty seven thousand, five hundred into Listing price. Pressing Escape discards that draft and returns to the saved twenty eight thousand, four hundred dollar value. Clicking outside the field would save instead, so it is not a cancel action.
A missing listing price affects what you can do next. In this separate example, the price has been cleared. Create Deal is disabled, and the estimator says Set a listing price to estimate payments. Choose Add listing price, enter the intended amount and save it. We restore twenty eight thousand, four hundred dollars before continuing.
If you do not see an edit pencil, check your permissions with an administrator. Current listing edits are available to administrator, data entry, accounting and sales roles. Do not substitute a purchase price or an estimate input for the listing price just to get past a missing-price message.
14:13 · Recover from a failed inline save
A failed save is different from a saved change. In this separate recovery example, we try to change the original twenty eight thousand, nine hundred dollar listing price to twenty eight thousand, four hundred. The application reports that the change could not be saved. The editor reopens with the typed value, while the heading still shows the previous saved price.
Read the error, check the entered amount and your connection, then try saving again. Press Enter in the reopened field. In this demonstration the retry succeeds, the editor closes, and the heading updates to twenty eight thousand, four hundred dollars.
If it fails again, keep a note of the intended value and the stock number. Do not keep clicking as though the change has succeeded. Follow up with your administrator, then return to the record and check its actual saved value before making another change.
15:07 · Reach the same controls on a phone
On a phone, open the same vehicle and confirm its stock number. Choose Inventory Details to reach the Listing fields. The panel shows Listing price and Mileage with their edit pencils. Tap the required pencil, enter the correct value, and complete the edit before closing the panel.
An inline field saves when focus leaves it. If you need to undo an unfinished entry and your keyboard has no Escape key, restore the previous value before leaving the field. Closing the panel should not be used as a cancel action. Verify the displayed price or mileage after the edit.
Close Inventory Details to return to the vehicle. Use Estimator at the bottom to reach Payment estimator, then choose Adjust figures. The same assumptions and estimate checks apply. You can also scroll to that section. Here is the actual route down the record to the estimator inputs.
16:03 · Recover when a record will not open
If the record cannot load, the application shows We couldn't load this vehicle's details with a Retry button. Check your connection and choose Retry. In this example, the vehicle opens successfully and the saved price and mileage are visible again.
Inventory not found is a different message. Return to Inventory, check the stock number, clear conflicting filters, and search the appropriate In Stock, In Progress or Delivered list. Also confirm that you are in the intended dealership. A missing record message is not proof that your recent edit was saved or that a vehicle was deleted.
If the record still cannot be found or opened, give your administrator the stock number and the message you saw. Avoid re-creating the vehicle just to work around a lookup problem.
16:52 · Confirm the saved listing changes
We finish by returning to Inventory and searching for DEMO-024 again. The row now shows a twenty eight thousand, four hundred dollar list price and thirty four thousand, five hundred kilometres. Open it and confirm those values on the vehicle record.
The listing changes are saved vehicle information. The payment estimator remains an estimate; the three thousand dollar down payment shown here is not money collected, and no bill of sale has been created by this walkthrough. The record still shows Acquired.
The listing changes are confirmed. Next, we'll look at how the inventory moves through its states. Creating a deal is covered in the bill of sale guide. We'll continue the state example from a saved retail deal for this same fictional Corolla.
17:42 · Understand the inventory states
The vehicle record shows three stages: Acquired, Sold and Delivered. Acquired is the starting point for a vehicle without a deal. You normally find it in Inventory, In Stock. Editing its price or mileage does not mark it sold.
After a bill of sale has been saved, the record shows Sold and the vehicle appears in In Progress. Sold does not mean the vehicle has already been delivered. Our saved retail deal is for the same Corolla at twenty eight thousand, four hundred dollars, with Jamie Taylor as the fictional purchaser. Approval is still Pending.
Approval is a separate step within Sold. It is not a fourth inventory stage, and it is not lender approval. Once the deal is approved, an administrator can mark it delivered. The record then shows Delivered, and the vehicle appears in the Delivered list. Check both the stage and the approval or delivery information instead of relying on the word Sold alone.
18:41 · Mark sold without a deal and return to inventory
There is an optional path for a vehicle sold without a bill of sale in Carvio. It is available only when the dealership allows manual sold status, to administrators, data entry and accounting staff, and only when the vehicle has no deal. If that is not your workflow, continue with normal deal approval instead.
In this separate no-deal example, open More actions in the vehicle heading and choose Mark as Sold. Read the vehicle identity and the warning: no paperwork is generated and no financial record is created. Confirm Mark as Sold only when that describes the intended action. The page now shows Delivered, rather than creating a deal awaiting approval.
To reverse this manual status, open More actions, choose Move to Inventory, review the vehicle in the confirmation, then choose Move to Inventory again. The record returns to Acquired and can be found In Stock. This is the return path for a manually sold vehicle without a deal. It is not an undo-delivery control for a completed bill of sale.
19:47 · Review and approve the saved deal
Return to the saved-deal example. An administrator sees Approve Deal in the vehicle heading. The Sold stage menu also offers Approve, while Mark delivered is unavailable until approval. A sales account does not get the administrator's approval action.
Choose Approve Deal. The review shows Inventory price, Sales tax, Discount, Trade-in allowance, Total fees and Selling price. Check these figures against the intended deal. The selling price here is twenty eight thousand, four hundred dollars. If Review before approving appears, read the warning and investigate the highlighted information. Cancel and correct the deal when needed. A warning should not be treated as confirmation that a discount, tax entry or price change is correct.
When the deal is correct and you intend to approve it, choose Approve. A warning can change that label to Approve anyway. In our checked example, approval completes. The record still shows Sold, the approval line names Alex Morgan, and Mark delivered is now available. This records the approver and unlocks delivery; it does not mark the vehicle delivered.
20:54 · Remove an approval before delivery
If an approved deal needs another review before delivery, an administrator can remove the approval. In the vehicle heading, open More actions and choose Remove approval. The confirmation identifies the vehicle, stock number, selling price and recorded approver.
Read the consequence, then confirm Remove approval when that is the intended correction. The record stays Sold, approval returns to Pending, and Approve Deal becomes available again. The deal must be approved again before it can be delivered. Removing approval does not return the vehicle to In Stock and does not delete the deal.
This action is not available after delivery. Do not use Delete deal as a routine way to move a stage backwards; its confirmation describes permanent removal of the deal and its financial records. For this example, we keep the deal and approve it again before continuing to delivery.
21:51 · Record the delivery
With the saved deal approved, choose Mark delivered in the vehicle heading. The Mark as delivered form warns that this action cannot be undone. Only continue when the vehicle should actually be recorded as delivered. Cancel leaves the current stage unchanged.
Review the delivery information. Enter Insurance cost, Salesperson commission, Plate cost and Plate number when applicable. A retail deal can also show Dealer incentive or Extended warranty cost when those apply to its recorded terms. Use actual confirmed figures for the sale. In our fictional example, insurance cost is zero, salesperson commission is three hundred dollars, plate cost is fifty nine dollars, and the demonstration plate number is DEMO-024.
Use Attach for relevant images or PDF delivery documents. Review the staged attachments before saving; use Remove document on one you added by mistake. This example has no delivery documents attached. The form's document area is separate from the purchase paperwork on the vehicle page.
Check the vehicle and values, then choose Deliver. Wait for the result. The page now shows Delivered, three of three stages, and the saved delivery information. A failure message means you must check the problem and retry; the click alone is not proof of completion.
23:13 · Review the delivered result and correct details
Open Inventory, then Delivered, and search the stock number. Our Corolla appears in Delivered with its twenty eight thousand, four hundred dollar sale price. Open the matching record and confirm its Delivered stage and delivery information.
To review the deal from the record, choose View full deal. The Deal panel shows the purchaser and recorded figures, with a Delivery section for this completed sale. An administrator can choose Edit beside Delivery to correct its recorded information or manage delivery documents. The Edit delivery information form starts with the saved values. Review the changes and choose Save. Cancel leaves the saved information unchanged. Editing delivery information does not move the vehicle back to an earlier stage.
We finish with the delivered record: the same stock DEMO-024, thirty four thousand, five hundred kilometres, the twenty eight thousand, four hundred dollar sale, its approval, and its recorded delivery. Use the chapter links for a specific task, and check the vehicle identity, current stage and saved result each time.

Change only Down payment to $3,500. The estimate becomes $265.49 bi-weekly, with $29,157 financed and $5,357 total interest. Increasing the down payment by $500 reduces the displayed financed amount by $500. No money is collected by entering this field.

The extra $500 down reduces displayed financing by $500. · Fictional example Select image to enlarge. Compare term, rate and frequency
Watch 8:08With $3,500 down, changing Duration (months) from 60 to 72 shows $228.50 bi-weekly and $6,489 total interest. Review both payment and total interest. Restore 60 months; changing Interest rate % from 6.9 to 7.9 shows $271.83 bi-weekly. Restore 6.9 for the next comparison.
Choose Payment frequency and read the frequency beside the amount. With the same $3,500 down, 60 months and 6.9%, the estimates are Monthly $575.97, Semi-monthly $287.64, Bi-weekly $265.49, or Weekly $132.67. It may still be an unfinished draft. Press Enter to save, then confirm the editor closes and the heading or listing value reflects the saved result. Escape cancels before saving; leaving the field saves.
The estimate is different
Compare listing price and all seven inputs, including payment frequency. A previous local scenario, different trade-in or lien, or an adjusted limit can change the display. Estimates are not approved lender terms.
The record remains Sold after approval
That is expected. Approval unlocks delivery and records the approver. An administrator must complete Mark delivered before the stage becomes Delivered.
