0:04 · Manage vehicle listings

In this Carvio guide, we’ll review where a vehicle is listed, change its listing choices, and pause or resume incoming feed updates. We’ll also cover the warnings and recovery steps that matter when something fails.

Our fictional example is a 2022 Honda Civic EX, stock D E M O, zero six one, listed at twenty-four thousand nine hundred dollars with forty-one thousand five hundred kilometres. Check your own stock number and VIN before changing a vehicle. The example statuses are for training; use the current information on your own record.

0:41 · Reach the existing vehicle

Open Inventory in the sidebar, then choose In Stock for an acquired vehicle. Use In Progress or Delivered when that is where the vehicle belongs. These lists reflect its sale stage; changing a listing switch does not mark the vehicle sold or delivered.

Choose Search and enter the stock number. Here we search for D E M O, zero six one. Confirm the matching Honda and open the record. Find Listing and Listed on in the vehicle details. Listing contains the vehicle’s advertised information; Listed on contains its outgoing channel choices.

1:17 · Recognize role access

The controls you see depend on your role. Administrators and Marketing can change outgoing channel switches and Show VIN in listings. Accounting can expand Manage marketplaces and read the individual statuses, with words such as Off where there is no editable switch.

Sales has a marketplace summary rather than the full management list. Data Entry and administrators can pause incoming feed updates. Marketing’s outgoing controls do not include that feed pause switch. If a required control is missing, ask your administrator to check access. A missing control does not establish that the vehicle is unlisted.

1:58 · Open Inventory Details when needed

If you’re working on a phone, open navigation to reach Inventory and the correct stock list. Once the vehicle is open, choose Inventory Details. This is the action that opens its Listing and Listed on controls.

Find Listed on and choose Manage marketplaces. Scroll to the channel you need, then read its name, switch and reported status together. Close Inventory Details when finished. You can review the information without changing a switch; make a change only when you intend to save that listing choice.

2:32 · Read switches and reported status

Under Listed on, choose Manage marketplaces. Scroll through the available channels. The choices depend on the dealership’s configuration; your list can differ from this example.

Three of five active means three channel switches are on. It does not mean all three are reported Live. Here Carpages says Live, HeyAuto says Not sent, and Kijiji says Not yet listed. Hammer and Website are off. An on switch records a listing choice; the status tells you what Carvio currently reports for that channel. Read both before concluding that the vehicle is visible there.

3:09 · Understand the status words

Live is the positive status reported for that channel. Not yet listed means no listing status has been reported there yet; it is not a promise that publication will finish by a particular time. Not sent means there are reported issues to review.

Where available, Last sent gives the recorded time of a previous send. It is historical information, not confirmation that a change you just made has reached the external listing. Website does not show that time in this view. When you need to confirm what buyers can actually see, check the intended listing itself as well as the information in Carvio.

3:48 · Review every Not sent reason

For Not sent, read the reasons beneath that channel. Our HeyAuto example shows Missing image and Missing dealer website, with one more reason hidden behind the plus-one-more control.

Choose plus one more to read the full list. It also includes Missing dealer postal code. Check all the reasons, rather than correcting only the first one. Vehicle details and dealership details may need different people to correct them. Coordinate the correction with an authorized teammate, then recheck the channel’s report. A visibility warning on the vehicle is a prompt to inspect the individual channels; keep their separate statuses in view.

4:26 · Change one outgoing channel

To change one channel, use the switch beside its name. In this example, Website starts off. Turn Website on and wait for the change to finish. Its switch stays on, the header changes to four of five active, and Website reports Live in this training example.

Changes are saved from these switches; there is no separate Save button for this list. Recheck the settled switch and status, especially after an error. Enabling a channel does not correct missing images or dealership information. If a channel is absent from the available choices, ask an administrator to review the dealership’s configured integrations.

5:06 · Use the Listed on master switch

The switch beside the Listed on heading affects the group. Turning it off switches off every currently active channel for this vehicle. Here the count becomes zero of five active. Review the scope before using this control.

Turning it back on enables the available channels that are not reported as blocked for this vehicle. In our example, Carpages, Kijiji and Website turn on. A notification says Hammer and HeyAuto were left off because the vehicle isn’t eligible for them yet. Three of five active is the finished setting here. Read that notification and the individual rows; the master being on does not mean every channel was enabled.

5:46 · Control VIN display separately

Show VIN in listings is in Listing, beside the vehicle’s listing information. It controls the VIN display choice; it does not enable a marketplace or pause the incoming feed.

Turn it off when that is the intended listing choice, then check the settled switch. The vehicle’s identifying VIN remains visible on its Carvio record so you can still confirm which vehicle you are working with. Here we turn the listing choice back on and confirm it. A view-only role sees Enabled or Disabled instead of a switch. Check the intended external listing when you need to confirm the published display.

6:25 · Understand the incoming DMS feed

Now find Feed under Listing. DMS means dealer management system. This area describes incoming updates to this vehicle record. It is separate from the outgoing channels under Listed on.

Our Civic says Auto-imported from Carpages, with the recorded action time. Other records can say Manually confirmed or Edited by a teammate. Read that sentence as the record’s provenance, not as proof that the feed is currently running. The Feed sync for this vehicle switch is the control that tells you whether incoming feed updates are allowed. The earlier marketplace switches do not control it.

7:03 · Pause and resume feed updates

To pause incoming updates for this vehicle, an administrator or Data Entry user turns the DMS feed switch off. Wait for the settled state. The page says Sync paused, this vehicle will not be updated from the feed.

The source sentence remains visible, and the outgoing channel choices remain as they were. Pausing incoming updates is not the action for taking the vehicle off every marketplace. To allow feed updates again, turn the same switch back on. The paused explanation disappears. Recheck the vehicle information after subsequent updates; resuming the switch alone is not a confirmation that a fresh feed update has already arrived.

7:45 · Recognize a manually created record

A vehicle that was created manually can show Manually created without a feed switch. This separate fictional Mazda example has that state. It does not mean a feed is paused, and there is no existing feed to resume from this row.

If a feed-managed vehicle shows no switch, also check your role: administrators and Data Entry have that control. Ask your administrator to review the record and access if the expected feed control is missing. Do not change unrelated marketplace or VIN switches while trying to resolve an incoming-feed question. We’ll return to the Civic for the recovery examples.

8:25 · Recover marketplace status

If Listed on says Couldn’t load marketplace status, use its Retry control after checking the connection. The vehicle’s other details can still be available. DMS feed may also say Couldn’t load while this status is unavailable.

After Retry, wait for the status and channel controls to return, then review them again. An error is not the same as a vehicle being off everywhere. If the error persists, keep the stock number and the exact on-screen message available when asking an administrator for help. Avoid making repeated unrelated changes to work around a status-loading problem.

9:03 · Recover sync settings

Couldn’t load sync settings is a different message. The source sentence can still be present while the outgoing channel settings are unavailable. There is no Retry button on that settings message in this view.

Check the connection, then reload or reopen the vehicle record. Here the temporary problem clears and Manage marketplaces returns. Confirm the stock number again before changing a switch. If no marketplaces are configured for the dealership, the view can instead say No marketplaces enabled for this unit. Ask an administrator to check the configuration; don’t treat a missing list as an instruction to create another vehicle.

9:43 · Recover a failed switch change

When a channel change fails, read the error and look at the settled switch. Here Website remains off after the failed save. Don’t count the attempted change as complete. Address the problem, then try the intended switch again. On retry, Website stays on and the active count updates.

A failed incoming-feed change also restores its prior switch state. Our failed pause leaves Feed sync on. After a successful retry, it is off and the Sync paused explanation appears. Use the visible result, rather than the first movement of a switch, to decide whether the change finished.

10:21 · Recover a partial bulk update

A group change can finish only partly. Here the master starts with all five channels off. Enabling the group leaves Hammer and HeyAuto off for their reported eligibility issues. Of the three attempted changes, only two succeed.

The notification says Updated two of three marketplaces. Carpages and Website are on, while Kijiji is still off. Review each row instead of turning the master off and on again. After addressing the failure, turn on just Kijiji. The count becomes three of five active. Kijiji still says Not yet listed, so the saved choice is confirmed while its listing status remains unconfirmed.

11:01 · Review the finished listing choices

Here is the finished Civic example. Carpages, Kijiji and Website are on; Hammer and HeyAuto are off. The count is three of five active. Carpages and Website report Live in this example, while Kijiji remains Not yet listed. Show VIN in listings is on, and incoming feed updates are allowed.

Confirm the vehicle identity, intended switches, reported statuses and any warnings. Check the actual listing when you need to confirm what buyers see. Listing choices, incoming feed updates and the inventory sale stage are separate decisions. Use the written guide and chapter links to return directly to the control or recovery step you need.

In Listing, set Show VIN in listings to the intended state and wait for the settled switch. A view-only role sees Enabled or Disabled instead.

The identifying VIN remains visible on the Carvio vehicle record. This setting does not turn a marketplace on or off and does not pause the incoming feed. In the finished example we restore Show VIN in listings to on. Check the actual listing when its published display needs confirmation.

The settled switch or read-only Enabled/Disabled state matches the intended listing choice. The identifying VIN remains on the Carvio record.

I only see Enabled or Disabled

That is the read-only state. Ask an Administrator or Marketing teammate to change the listing choice if needed.

The channel is still off

VIN display does not enable a channel. Use Listed on → Manage marketplaces to review the outgoing channel’s switch and status.

I need to confirm the published VIN display

Check the intended actual listing after checking the saved choice in Carvio.
